DATA PROTECTION & PRIVACY INFORMATION – Updated May 2018
This Privacy Policy is effective immediately for users that sign up for Wedding Pages accounts on or after 25 May 2018 and will become effective on 25 May 2018 for users that already have Wedding Pages accounts.
This Privacy Policy describes our policies on the collection, use, and disclosure of information about you in connection with your use of our services, including those offered through our websites, emails, and mobile applications (collectively, the “Service”). The terms “we”, “us”, and “Wedding Pages” refer to Wedding Pages Online Ltd., a company incorporated in Ireland. When you use the Service, you acknowledge our collection, use, and disclosure of information about you as described in this Privacy Policy.
INFORMATION WE COLLECT AND HOW WE USE IT
What we do with your personal information and your rights
As a normal part of supplying you with our service, either as a direct customer, or as a website user, Wedding Pages Online Ltd inevitably holds some of your personal data such as your name, email address, telephone number, wedding venue, or (in the case of a direct customer) invoices issued to you and payments received from you. The purpose of this document is to clearly describe how we process that data, how we respect your privacy, and how you may exercise your right to receive a copy of that data. At all times, we treat your data in compliance with the Irish Data Protection Act.
Note that “personal data” in the context of the Data Protection Act just means data (like your phone number or an invoice) that can be identified with a particular individual (we can identify that the data relates to you through your name and email address). It does not mean sensitive data – we do not obtain or hold sensitive information on you, just the information referred to above which is necessary to supply you with the service we provide.
We only disclose your personal data to others, where you have requested it, and where it is necessary in the context of supplying you with service, we do not sell or make available any of your details to others such as direct-mail or other marketing companies (if you are contacted by any such company who state or imply that they received your contact details from us, we would dearly love to hear from you).
We only disclose your information to the following:
Wedding Suppliers:
Only where you have filled out an online enquiry form with that particular supplier, or where you have expressly asked that your details be passed on so that a number of suppliers can contact you (e.g. if you are booking at short notice and having trouble finding a supplier available etc).
Wedding Pages does not record telephone conversations, but may need to do so at some time in the future, and so reserves the right to record telephone conversations made to us for the purposes of safety, staff training, quality control or confirming details of your conversation, if this was the case, this information would be treated in a strictly confidential manner.
We respect your privacy, and we take all reasonable precautions to protect your data from access by others: apart from our obligations under the Data Protection Act, we share a commonality in not wishing to allow others access to your data.
Your Activity:
We may collect and store information about you in connection with your use of the Service, including any information you transmit to or through the Service. We use that information to provide the Service’s functionality, fulfill your requests, improve the Service’s quality, engage in research and analysis relating to the Service, personalize your experience, track usage of the Service, provide feedback to third party businesses that are listed on the Service, display relevant advertising, market the Service, provide customer support, message you, back up our systems, allow for disaster recovery, enhance the security of the Service, and comply with legal obligations. Even when we do not retain such information, it still must be transmitted to our servers initially and stored long enough to process. We may store analytical information about your use of our service related to your search activity, the pages you view, the date and time of your visit, businesses you contact using our service, and enquiries you make through the Service. We also may store information that your computer or mobile device may provide to us in connection with your use of the Service, such as your browser type, type of computer or mobile device, browser language, IP address, location and requested and referring URLs.
Account Information:
In joining our service, or creating a Wedding Pages login/user account, we may store and use the information you provide during that process, such as your full name, email address, address, phone number and other information you may provide with your account, such as the date of your proposed wedding. Your gender, birth date, health status and other such personal information are not required, and we kindly request that these details are not submitted on any of our forms, or in your personal communications with us or to our listed suppliers. We may publicly display your first name and last name, as well as any photo or other content you submit through the registration process, as part of your account profile.
Public Content:
Contributions to the Wedding Pages Service are intended for public consumption and are therefore viewable by the public. This includes your photos, reviews, posts, and edits to business listing. Your wedding supplier account profile is also not deemed private, as the service we provide is of an advertising/promotional nature, and therefore intended for public consumption in promotion of your business or service. You can limit/change any information your share using your My Account settings, and your Edit Listing page.
Financial Transactions:
If you make a transaction through the Wedding Pages service, or any of the websites clearly branded “Wedding Pages” within our network, such as a listing upgrade or purchase, we may collect and store information about you, such as your name, phone number, address, email, and payment information (such as a credit card number and expiration date), as well as any other information you provide to us, in order to process your transaction. This information will only be shared with our cloud accounting and banking service providers (in providing us with their services). We prioritise security in the selection of our cloud banking/accounting service providers, and utilise encryption on our own website hosting servers in the processing of our customer/clients sensitive information as they are passed offsite to our service providers for their transaction. When you submit credit card numbers to those providers, you do so on their encrypted servers, and (at the time of writing) we are happy that we have selected industry leading financial service providers to handle your transaction. We assume that if you have any concerns about their service at the time of your transaction, you will either review their own terms and conditions, and privacy policy prior to submitting your information – or contact us directly for an alternative payment method if you are not satisfied with the above (this is in relation to any possible data breach reported in news media at that time, or personal concerns with that provider that you might have in prior dealings with them).
Supplier Reviews:
If you submit a supplier review to our service, you are accepting that we may publicly display your review, the fact that you transacted with that supplier, and any dates/locations/information that you have submitted within that review submission. If a supplier has submitted your already publicly available review for display on their page on our site, or on a duplicate page displayed on their own website (i.e. one that they have received from you via social media, or another provider), we will remove that review from our servers at your request. Other content providers must be contacted directly in order for your information to be removed from their sites/servers (i.e. social media sites, vendor sites), as we have no legal basis to make those requests on your behalf.
Legal basis for Processing User Information (EEA end users only):
For residents of the European Economic Area (EEA) and Switzerland only, our legal basis for collecting and using the information described above will depend on the specific information concerned and the context in which we collect it. However, we will normally collect personal information from you only where we have your consent to do so, where we need the personal information to perform a contract with you, or where the processing is in our legitimate interests and not overridden by your data protection interests or fundamental rights and freedoms. In some cases, we may also have a legal obligation to collect personal information from you or may otherwise need the personal information to protect your vital interests or those of another person (for instance, to prevent, investigate, or identify possible wrongdoing in connection with the Service or to comply with legal obligations). If we ask you to provide personal information to comply with a legal requirement or to perform a contact with you, we will make this clear at the relevant time and advise you whether the provision of your personal information is mandatory or not (as well as of the possible consequences if you do not provide your personal information). If we collect and use your personal information in reliance on our legitimate interests (or those of any third party), this interest will typically be to operate our Services, communicate with you in relation to our Services, or for our other legitimate commercial interests, for instance, when responding to your queries, to analyse and improve our platform, engage in marketing, or for the purposes of detecting or preventing fraud.
You are entitled to a copy of your personal data though we may limit how frequently we comply with these requests as per the Irish Data Protection Act, where we suspect abuse of this right, such as requesting this information daily. We do not currently charge for this service, though we reserve the right to do so in the future, because we fully respect your right of access to this data. Because we also have to protect your privacy, and guard against others trying to access your data, we will normally only post the data to your registered email address: should you have changed your address unknown to us, you must submit proof of your change of address with your request. For the same privacy reasons, requests for a copy of your personal data should be made in writing to:
The Data Protection Officer,
Wedding Pages Online Ltd,
Ballycumber,
Tullamore,
Co. Offaly.
In addition, we may send you website related news/updates and marketing information from time to time with your invoices and/or statements, and possibly on occasion independently of your invoices/statements. If at any stage you wish not to receive any marketing information from us, you may send such a request to the Data Protection Officer above, or alternatively info@weddingpages.ie and your request will be complied with.
In case of any abuse that you become aware of, such as being contacted or sent information from someone else apart from us but purporting to have been given your contact details from us, or for clarification and queries on any of the issues discussed in this document, please feel free to send correspondence to the Data Protection Officer above or any of the listed email addresses.
Should you be dissatisfied with our responses, you may contact the Irish Data Protection Commissioner or through the courts. Contact details for the Irish Data Protection Commissioner, as well as information on the Irish Data Protection Act(s), may be found at the Data Protection Commissioner’s web site, which at the time of writing was http://www.dataprotection.ie
